My hosting partner processes the technical data your browser sends (IP address, browser type, requested page) to display and secure the site. If you accept the consent banner, my CRM software additionally measures your visit (pages, duration, source, device type) under a random visitor number that can be linked to your contact details if you later submit a request. Legal basis: your consent, which you withdraw in the cookie policy. With that same agreement, the advertising network I advertise on sets a cookie showing it which visits come from my ads and which pages you view afterwards. That network processes this data for its own purposes as well and may transfer it outside the European Union under the European Commission's standard clauses. Beyond that, I measure visitor numbers without cookies and without identifying you: I see how many people view which page and from which country, never who. Fonts are served from my own domain. Header videos come from my own video hosting. If you submit a form or book a call and gave your consent, I also report that directly from my own server to that advertising network, alongside the report sent by your browser. In doing so I pass on an irreversibly encrypted version of your email address, your phone number and your name, plus your IP address and your browser identifier. The network uses these to determine whether your request came from an ad. Your actual details never reach it in readable form. Both reports carry the same identifier so they count as one event. That same report is also sent when you complete a purchase, including the amount. If you say no in the consent banner, this does not happen, not even from my server. Legal basis: your consent, which you withdraw in the cookie policy.
I process your first name, last name, email address, phone number, your goal, your preferred coaching format and whatever you write. I use this to answer your request, propose a discovery call and start your programme if you become a client. Legal basis: the steps needed to enter into a contract. Your data goes into my client software, from which I send you a confirmation, a few follow-up emails and then my newsletter with health tips. Emails with tips or with an offer carry an unsubscribe link at the bottom. To stop the rest of that follow-up, a single email to coaching@timondhaeze.com is enough.
The twenty questions cover your training, nutrition, sleep, daily rhythm and the way you organise your week. To show your report, send it to you by email and contact you once about it, I process your first name, email address and phone number, your answers, your age group, work situation, family situation and gender, your health score, your scores per domain, your biggest leak, your structure profile and your first building point. I keep your answers as a readable note on your contact record in my CRM, so that I can prepare a conversation or a follow-up programme without you having to fill everything in again. Because this data says something about your health and lifestyle, I ask for your explicit consent via the first checkbox on the form. If you also want my tips and offers by email afterwards, you tick the second box; that is a separate consent that you withdraw via the unsubscribe link at the bottom of those emails or with a single email to coaching@timondhaeze.com. Your answers also stay saved in your own browser until you clear them. You can withdraw your consent or have your data deleted at any time with a single email, after which I remove it within a month. If the check does not lead to a collaboration, I keep your name, email address, phone number and your results (your health score, your scores per domain, your biggest leak, your first building point, your structure profile and your profile details) for a maximum of twelve months after our last contact. I delete the note with your individual answers to the twenty questions within those same twelve months. If you become a client, the retention periods for clients apply. If you withdraw your consent, I delete your data at your request. Important: the health check is a practical lifestyle and structure assessment, not a medical examination. It makes no diagnoses and does not replace a doctor.
The booking calendar on the site runs through my client software. It processes your name, email address, phone number and the chosen time slot to schedule the appointment and sends you a confirmation with the video call link. Afterwards you also receive my newsletter with health tips, with an unsubscribe link at the bottom of every email. The call itself is only recorded if I ask beforehand and you agree. If you decline, the call simply goes ahead without a recording.
I use your email address only to send you the newsletter. If you sign up directly, the legal basis is your consent. If you come in through an application, a booked call, the health check with the second box ticked or a purchase, it is my legitimate interest in helping you further with free tips. The newsletter has an unsubscribe link at the bottom and you can also unsubscribe with a single email to coaching@timondhaeze.com.
You can leave a public comment under every blog article. For that I process the first name or name you fill in yourself and your comment. Both are visible on the site to everyone who reads the article, so do not put anything in there that you do not want to be public. I do not ask for an email address. To keep out spam, my system stores an irreversibly hashed version of your IP address, from which I cannot recover your address, together with the language you wrote in. Legal basis: your consent, which you give by posting your comment. Comments containing a link or abusive language reach me first before they go live. Comments stay online as long as the article does. If you want your comment removed, email coaching@timondhaeze.com with the title of the article and your name, and I will take it down. At the top of every article you see how often it was read and liked. For that my system keeps the same irreversibly hashed version of your IP address for one day, so a reload does not count twice, and when you leave a heart an equally hashed marker for as long as the heart stays. There is no profile, no cookie and no external counter behind it.
For your coaching I process your identification and contact details, your billing details and health data: height, weight, body composition, injuries, conditions, medication, allergies, sleep, stress, energy, eating habits and supplements, plus progress photos, technique videos and your training and nutrition logs. If you connect your smartwatch or your phone's health app in the app, your steps, sleep, heart rate, heart rate variability, activity and similar measurements are added to this. You switch that connection on yourself and you can switch it off again at any time. I only record a video call if you give your consent in advance. This data lives in my coaching software, where you can view it yourself. Legal basis: the performance of our agreement and, for health data, the explicit consent you give in the intake form. I use it solely to make your coaching safe and suitable and never share it with anyone other than the service providers below.
For your purchase I process your name, email address, address details if the invoice requires them and your payment details via my payment provider, which is itself responsible for those. You get an account in my academy; it holds your progress and what you fill in on the worksheets, so you can continue on any device. If you came via the health check, the Fundament takes over your result so you do not have to fill anything in again. Legal basis: the performance of our contract. The health-related data from your health check is used in the Fundament on the basis of the consent you gave during the check. As a buyer you receive the fourteen daily emails of the programme; they are part of the product and therefore carry no unsubscribe link. If you would rather not receive them, one email to coaching@timondhaeze.com is enough for me to stop them. Emails about the follow-up offer after day 14 are sent on the basis of my legitimate interest towards my clients and those do carry an unsubscribe link at the bottom.
Photos, figures or quotes from clients only appear on the site or on social media after separate, explicit consent. You can withdraw that consent at any time, after which I take the material offline.
I never sell your data. It sits with service providers I need in order to work: website hosting and security, client and email software, coaching software, calendar and video calls, video hosting, accounting and software for my administration and communication. I have data protection agreements with these providers. Some of them process data in the United States, under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses. Others are based in the United Kingdom, for which the European Commission has adopted an adequacy decision, so your data enjoys the same protection there as in the European Union.
Lead and contact data, such as your request or your health check results without a collaboration: twelve months after our last contact. Newsletter: until you unsubscribe. Your client file with your health data, your progress photos and your technique videos: twelve months after your coaching ends, unless the law obliges me to keep something longer. Invoices and accounting records: seven years, because article 315 of the Belgian Income Tax Code 1992 requires it. After that I delete or anonymise the data.
Only I have access to your file. My devices are encrypted, my accounts are protected with strong, unique passwords and I never share client data through public links.
You have the right of access, rectification, erasure, restriction of processing, data portability and objection. You can withdraw your consent at any time. Email coaching@timondhaeze.com and you will get an answer within thirty days. If you are not satisfied, you can contact the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, dataprotectionauthority.be.
